Position Title: Finance and Administrative Assistant (FAA) - Reliever
Location: WWF Head Quarters in Quezon City, Metro Manila and Sablayan, Occidental Mindoro (as required)
Ensure timely and efficient utilization, recording, and reporting of project funds in accordance with WWF Philippines Financial management systems, policies and procedures, compliance to Philippine Financial Reporting Standards (PFRS) and donor terms and conditions. Provide technical, financial and administrative support to the assigned project.
He/she supports the Project Manager and the Project Finance and Administrative Officer in the performance of his/her duties and responsibilities which include, but are not limited to: the preparation and submission of the project’s financial status, program reports, accomplishments, other related and relevant information required from the program.
- Receives all incoming documents such as memos, payment vouchers and liquidations, and all other pertinent project documents in accordance to WWF and Donor policies.
- Validates the accuracy and completeness of supporting documents for all received requests for payments, cash advances and liquidations. Ensure compliance with the policies (WWF and Donor) and adherence to prescribed administrative and accounting procedures.
- Facilitates loading of documents for Itilite loading for approval by authorized approving officer.
- Provides journal entries with appropriate cost center/activity codes for review by the Bookkeeper/Project Finance and Admin Officer and stamps paid all supporting documents.
- Monitors and ensures that employees’ cash advances are liquidated on time and in accordance with the organization's policy.
- Facilitates bank transaction needs of the project.
- Ensures that requisition slips are properly filled up and approved.
- Gathers canvass/quotations and prepares a summary of quotations/canvass for officers’ approval.
- Updates the inventory list of supplies and equipment and regularly checks that all these are in good working condition.
- Facilitates and coordinates payment of office utilities, rental, and other services.
- Assists the FAO in the conduct MS-SETB Project Audit.
- 12. Ensures timely filing of paid payment vouchers, journal vouchers with supporting documents and all other project documents.
- Assists project staff in complying with documentary requirements (e.g. bidding documents etc.) in accordance with WWF and Donor policies.
- Performs other tasks incidental and necessary to the performance of duties and responsibilities of the position.
- Prompt and timely assistance on all project activities and requirements related to finance and admin.
- Complete filling of all finance transactions of the project (soft and hard copy): back-up file and other relevant articles.
- Updated inventory report.
- Internal: Within WWF Philippines, reports to the Finance Manager, Project Manager, and Project Finance and Admin Officer.
- External: Consultants, donors, volunteers and other project partners.
- Graduate of Bachelor of Science in Accountancy, commerce, or any business-related course.
- At least one (1) year of bookkeeping, cashiering, budgeting and admin-related work experience.
- Skills and abilities:
- Proficient in MS Office - Word, Excel, PowerPoint and Google Apps coupled with the ability to multitask.
- Good in both oral and written communication skills, specifically in the preparation of finance reports and correspondence.
- Must have a good attitude towards work and be able to adapt to new environments.
- Open-minded, willing to learn, and must demonstrate the ability to think, make sound judgments, and deliver workable solutions.
