Project Site Coordinator for Siargao Island
POSITION DESCRIPTION

Reports to: Project Manager  
Based in: Siargao Island 
Supervises: No Plastics in Nature and Nature Based Solutions Projects
Duration: 6 months initial with potential extension depending on performance 

The World Wide Fund for Nature (WWF) Philippines is implementing multiple projects in the Siargao Islands.  These include projects on renewable energy, plastic waste, livelihoods and mangroves, covering the municipalities of del Carmen, General Luna and Pilar. Given this situation, the coordinator should be flexible regarding working arrangements, and willing to travel especially across municipalities, as well as new projects that may yet be developed.

BASIC FUNCTION

The primary responsibility of the Site Coordinator is to provide administrative and technical support to the Project Manager and to liaise with relevant government bodies, project partners, and stakeholders to communicate and coordinate the activities and directives from the Project Manager. He/she will assist key partners and stakeholders in complementing activities previously aligned to the work plan and agreed upon during consultations and dialogues and focus on maintaining the partnerships and involvement at the specified project sites. 

KEY DUTIES AND RESPONSIBILITIES

General administration of the project: 

  • Ensure a collaborative working relationship with and among the project partners and act as the primary contact point of WWF-Philippines on the project site.
  • Provide administrative support to the projects on a day-to-day basis, including preparing project reports and other requirements.
  • Coordinate, assist, and facilitate events by taking the lead in preparing documents, materials, and logistics for meetings, workshops, and conferences.
  • Arrange and schedule meetings and appointments, as instructed by the Project Manager.
  • Facilitate meetings with partners & stakeholders and prepare documentation including the meeting minutes.
  • Make travel arrangements, including preparing and liquidation of travel grants and vouchers.
  • Coordinate with Admin, ITm and Finance units on supplies and equipment requirements.
  • Facilitate the signing of consultants’ contracts and agreements
    • With the support of the Finance and Admin units and other project partners of WWF-Philippines, assist in monitoring the project's financial performance (i.e., funding status, budgets, financial reports, burn rate, etc.).
    • Submit regular liquidation reports and progress billing with the Finance unit, and coordinate workshops,  meetings, and travels of WWF-Philippines staff and stakeholders for project-related activities.
Reporting:
  • Assist in preparing periodic work, and financial and budget plans with the Project Manager and Finance and Administrative Assistant, in consultation with project partners.
  • Assist the Project Manager in preparing project, financial, and technical progress reports, including presentations.
  • Participate in project development initiatives, in cooperation with the Project Development and Resource Generation units.
Monitoring: 
  • Assist in monitoring regular progress in line with the project plan, use and implement monitoring and evaluation tools with measurable indicators for this purpose.
  • Ensure that reports are delivered on time.
  • Ensure adequate quality of data gathered in the project through regular quality controls.

QUALIFICATIONS

  • A bachelor's degree in social development, resource management, micro-enterprise development, environmental management, or other related courses is required.
  • One to two (1-2) years of progressively responsible work experience in conservation particularly handling Solid Waste Management projects will be considered in place of educational background. Knowledge and understanding of conservation, and natural resource management is an advantage.
  • Strong technical writing skills.
  • Effective communicator with strong organizational and interpersonal skills.
  • Willing and able to travel to islands and coastal communities. 
  • Apart from English, someone who speaks or is conversant in the local dialect (Cebuano, Surigaonon) is preferred.
  • A resident of Siargao Island is preferred and an advantage.
